Job Summary
Uses skills as a seasoned and experienced administrative operations professional to manage, plan and administer the operations of a small to mid-sized academic or non-academic department or organizational unit with limited scope. May report to a chair, director, or a higher level administrative operations professional or manager. Perform short- and long-term planning for the organization. May supervise staff or students. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.
The incumbent plays a vital role in managing a range of administrative operations and special projects within the division, with a strong focus on clinical scheduling, financial administration, and digital communications. Responsibilities include overseeing clinical scheduling and payments, managing faculty appointment applications, and planning division retreats and events. Additionally, the incumbent manages the division's website and social media content, ensuring timely updates, compliance, and engagement.
This position also supports the division's financial operations by reconciling ledgers, assisting the Assistant Division Manager with financial processes, and tracking faculty balances and reimbursements. The role requires close collaboration with leadership and colleagues to drive process improvements, enhance efficiency, and ensure compliance with institutional policies.
The incumbent will also have the opportunity to participate in division-wide committees, mentor new hires, and contribute to the development and refinement of policies and processes. Strong organizational skills, attention to detail, and the ability to manage multiple priorities are essential to success in this role.
The final salary and offer components are subject to additional approvals based on UC policy.
Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.
The salary range for this position is $86,500 - $129,700 (Annual Rate).

Department Description
The Department of Medicine (DOM) is the largest department in the School of Medicine (SOM) here at UCSF, with more than 600 full-time faculty. The mission of the Department includes research, teaching, patient care, and public service. The Department has a decentralized organizational structure across four locations (Mission Bay, Parnassus Heights, San Francisco Veterans Affairs Health Care System, and the Zuckerberg San Francisco General) and approximately 38 divisions. UCSF DOM has consistently ranked among the top four departments of medicine in the country. Authority and accountability of the Department rests with the Department Chair (leads Parnassus Heights site) and also directs the Vice Chairs / Chiefs at the SFVAHCS and ZSFG.
The Division of Palliative Medicine is in the Department of Medicine. Palliative care is specialized medical care for people with serious illnesses. This type of care is focused on providing relief from the symptoms and stress of a serious illness, with the goal of improving the quality of life for both the patient and the family. Launched in 2018, the Division aims to make palliative care routine at UCSF Health so that every patient with a serious illness and their family has access to high-quality palliative care. The various palliative care programs at UCSF that now make up the Division have been nationally and internationally recognized as leaders in clinical innovation, education, research, and training.
The Division has financial and administrative relationships with the Department of Medicine and UCSF Health, and runs 5 clinical services in both inpatient and outpatient settings. While the Division's clinical services are primarily split between Parnassus, Mt Zion, and Mission Bay campuses, fellows have rotations at the Zuckerberg San Francisco General Hospital (ZSFG), the San Francisco Veterans Affairs Medical Center (SFVAMC), Kaiser Permanente East Bay and By the Bay Health. We also have Professional Agreement Services, such as San Francisco Campus for Jewish Living.
