Description

Summary : Position supervises and coordinates activities of Payroll Administrator and overall payroll function.  This position also performs hands-on payroll processing for assigned payrolls.  Ensures associates are paid on-time and accurately, and proper payroll records are maintained and legally compliant.

Time Utilization : Normal business hours are 8 : 00 a.m. to 5 : 00 p.m.  Schedule needs to be flexible to accommodate internal and external customer’s schedules.  This position may travel up to 5% of the time.

Essential Duties and Responsibilities include the following.  Other duties may be assigned :

  • Supervises preparation and processing of payrolls by Payroll Administrator ensuring accurate pay for associates in accordance with established deadlines.
  • Reviews each payroll for accuracy prior to finalizing by Payroll Administrator.
  • Ensures all reporting is done in accordance with internal requirements, and legal and tax regulations.
  • Ensures payroll data files are maintained in accordance with legal requirements.
  • Prepares and processes assigned payrolls producing accurate pay for associates and meeting all established deadlines.
  • Calculates and processes sales commissions in accordance with various commission structures and prepares related reports.
  • Prepares and review payroll reports for errors and performs necessary corrections.
  • Reconciles payrolls and commission accruals according to established deadlines.
  • Performs quarterly tax package reconciliation.
  • Performs year-end balancing duties and reconciles W2s.
  • Prepares relocation and gift card expense files for payroll input so that appropriate income tax is calculated.
  • Regularly communicates with payroll service provider regarding escalated system issues and configuration.
  • Performs various month-end closing duties relating to payroll and general ledger functions according to established deadlines.
  • Prepares reports for and assists with various annual financial audits.

Education / Experience :

Associate’s degree in accounting or related field, and seven years of payroll administration experience in a multi-state environment.  Experience calculating sales commissions required.  Experience using UKG (UltiPro) required.

Language Ability :

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively and professionally present information and respond to questions from groups of managers, clients, customers and the general public.

Math Ability :

Ability to calculate figures and amounts such as percentages, discounts, interest, and commissions.

Reasoning Ability :

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills :

To perform this job successfully, an individual should be proficient in MS Office with advanced Excel skills.  Working knowledge of UKG (UltiPro) required.

Certificates and Licenses :

Current valid driver’s license and the ability to obtain a passport for travel as required by position.

Supervisory Responsibilities :

Directly supervises others.  Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training associates; planning, assigning, and directing work; appraising performance; rewarding and disciplining associates; addressing complaints and resolving problems.
