We have openings at our Tulsa office. The role of Med Clinic Office Specialist requires a High School diploma or equivalent. Receptionist experience with multi-line phone system, accurate typing at 50 wpm, basic computer knowledge and medical front office experience. Under the immediate supervision of the Med Clinic Operations Director / Supervisor, the Office Assistant performs routine clerical duties related to the general office functions of the agency, checks clients in promptly and relays messages to staff, reschedules clients as necessary, and schedules next appointment before client departs, responds to inquiries from clients, students, patients and the public about specific agency / program information and services; directs inquiries as necessary; explains or clarifies rules, processes, and procedures to clientele; provides information about services available; receives incoming calls and routes to appropriate staff.

Employees in this class have daily in person and telephone contact with agency staff, other agencies, and the public to obtain missing information or to correct information and / or materials, resolve record processing problems, provide general information and explanations to visitors and telephone callers and schedule appointments.

The starting hourly rate for this position is $18.00 an hour.

  • Demonstrate commitment to support and maintain a positive work environment and interact professionally with all staff within the agency and in the community.
  • Example of Position Responsibilities :

  • Answer phones and forward calls as appropriate. Answer general questions regarding agency services.
  • Greet clients and visitors; notify the appropriate persons of their arrival.
  • Schedule, reschedule physician appointments and return visits. Notify physicians of daily cancellations.
  • Create cash receipts for clients with co-pay amounts.
  • Maintain crisis line, general information; refer to calls to appropriate clinician in facility.
  • Distribute messages from the Answering Service to the Clinical Admin Assistant.
  • Provide coverage to other areas as requested by supervisor, such as making copies for other departments, alphabetizing for medical records, separating the demographics page from the application; etc.
  • Keep waiting room and office area as welcoming and respectful as possible.
  • Data entry (i.e. Systems of Care data, YIS, medical records logs, etc.) and problem-solving error in data entry.
  • Provide backup for the Intake & Engagement case manager for purpose of completing initial business paperwork and screening of clients.
  • Responsible for stocking, organization, and inventory of office supplies.
  • Physical Requirements : Must be able to move from location to location, bending, stooping, lifting 25 pounds, communicate clearly, prepare written communications, present information to other employees, process complex information within established procedures / programs, enter data to various programs. Must be able to climb stairs and access non-handicapped equipped residences / facilities.
