Position Objective

This position supports the college mission of educating tomorrow's workforce through support of Workforce Development and Career & Community Services activities serving students utilizing these department supports. The Office Assistant will provide customer service, triage student needs, respond to general inquiries regarding WFD and CCS programs and services, maintain student files and records, answer multi-line phones, respond to voicemails and emails, and assist with related WFD and CCS projects.

Duties and Tasks (Essential Functions)

Duty : Student Support / Customer Service

Tasks Include :

  • Greet visitors to Workforce Development and Career & Community Services offices.
  • Triage student / visitor needs and appropriately refer them to next steps / services.
  • Assist students with scheduling appointments with WFD and CCS staff
  • Answer multi-line phones, return calls and voicemails, and place calls as needed to students, faculty, staff, and community partners.
  • Monitor WFD and CCS general emails and respond to inquiries or refer to appropriate staff as needed.
  • Assist WFD and CCS staff with implementation of Worker Retraining, WorkFirst, BFET, Opportunity Grant, Early Achievers Grant, Passport, and other related eligibility programs by providing general information to students about eligibility requirement and application processes.
  • Provide general information regarding on and off campus resources and services.

Duty : General clerical / office duties and administrative support

Tasks Include :

  • Prepare intake application materials and handouts for the WFD and CCS offices as needed.
  • Type correspondence, photocopy, scan, and email as required.
  • Create and maintain shared files and other electronic spreadsheets as needed.
  • Maintain WFD and CCS outreach materials and travel bags.
  • Assist the WFD Director with relevant projects, other duties as assigned.
  • Duty : File Management

    Tasks Include :

  • Review WFD and CCS paper and electronic intake packets for completeness; maintain student files and records accurately and efficiently based on all WFD and CCS funding grant standards.
  • Maintain student files every month to ensure they are are neat, complete, and orderly in accordance with the filing system used.
  • Adhere to FERPA regulations with regards to student personal information and DSHS confidentiality requirements.
  • Assist WFD Director and Assistant Director with preparation of student files and records for archive in accordance following all WFD and CCS funding grant standards, SBCTC, and CPTC policies and procedures.
  • Duty : Contribute to college strategic plan, enrollment plan, and various Dept and Division goals / outcomes

  • Seek and participate in professional development opportunities
  • Participates in equity, diversity, and inclusion efforts to help eliminate equity gaps
  • Assists with data reporting
  • Other related duties as assigned
  • Minimum Qualifications

  • High School Diploma or equivalent.
  • Six months of clerical / administrative assistant work experience in a professional office environment or educational setting.
  • Proficient with technology to include Microsoft Office Suite and Microsoft Teams
  • Ability to multitask in a busy office environment while providing professional and courteous customer service.
  • Excellent oral and written communication skills.
  • Show initiative, use good judgement and be a self- starter.
  • The ability to contribute to the college's commitment to diversity by fostering a climate of multicultural understanding and appreciation.
  • Preferred Qualifications

  • Associates Degree.
  • Strong interpersonal and communication skills including tact and diplomacy
  • Excellent organizational and planning skills with attention to detail and follow through

Our college has a rich history of professional and technical education dating back to the 1940s, when Clover Park School District established a War Production program, training civilians as auto mechanics, aircraft-service mechanics, ship-fitters, welders and blueprint readers.
