Job Summary :
The Construction Scheduling Coordinator is a critical role responsible for optimizing the allocation of craft personnel and resources to ensure excellent customer service and operational efficiency. The individual in this position will work collaboratively with project managers, crew leaders, construction workers, and senior executives to manage scheduling, improve emergency services, and maintain performance metrics. The Construction Scheduling Coordinator also serves as the primary interface between field personnel and the organization, facilitating communication, accountability, and procedural adherence. The Construction Scheduling Coordinator will be reporting to the Vice President of Operations.

Essential Functions and Responsibilities :
- Produce and maintain master schedule by assigning appropriately skilled personnel to meet customer needs and timeframes. Work cooperatively with project managers, crew leaders, Field Directors, and VP of Operations to level resources and minimize conflicts, manpower shortages and unbillable work.
- Act as primary liaison with field personnel. Communicate effectively to explain scheduling needs, assign crews and inform personnel of pertinent company information in a timely manner. Problems or issues that arise from the field should be communicated to general super or management as appropriate and may include support from this role to communicate and execute resolution plan.
- Responsible for emergency call-in service to meet goals as defined by the strategic plan.
- Interface with payroll and accounting to maintain employee and job information. Issue location and vacation reports from previous week for payroll and attendance records by designated times. Approve craft vacation requests.
- Manage and perform required duties of DOT Hazardous pipeline program and DOT Vehicle program to keep Notch in compliance. Main contact for "Transportation Advisor". Involve VP of Ops if we have problems in the program.
- Schedule random drug tests as required.
- Trigger HR as required with failed drug test results and questionable physical results. This includes working with HR to meet EAP requirements.
- Comfortability with social settings, talking to different departments, talking to various team members on a daily basis.
- Work with HR and VP of Ops when craft workers require / desire accommodations.
- Perform background checks as required by customers.
- Assist in documenting and implementing company policies.
- Assist in implementing and make recommendations for operational procedures and manual documentation.
- Perform additional assignments per direction of supervisor.
Education and Experience :
Experience in Operations, or labor scheduling is preferred.Experience using various software, including project management tools, databases, and spreadsheets. Efficient with Microsoft 365.Physical Requirements :
Occasional lifting of items weighing up to 20 pounds may be required.Required to stand, or walk, or sit, talk, and hear for extended periods.Ability to operate a keyboard, telephone, and other standard office equipment.Comments : The above description captures the primary duties and responsibilities of the job.
