Note : Flexible Travel required for Event Management

Job Duties :

  • The Corporate Special Events Coordinator will be responsible for planning, coordinating, and executing high-profile executive meetings and events.
  • This role requires a detail-oriented and highly organized individual who can manage multiple tasks and projects simultaneously while maintaining a high level of professionalism.
  • The primary focus will be on creating exceptional meeting experiences for the company's leaders, ensuring that all events are managed with excellence and run smoothly and efficiently.

Key responsibilities :

  • Plan, organize, and execute leadership meetings and special events, including venue selection, catering, transportation, and accommodation arrangements.
  • Stakeholder Management : Collaborate with internal and external stakeholders to ensure all event requirements are met, including coordinating with executive assistants, vendors, and service providers.
  • Budget Management : Develop and manage event budgets, ensuring cost-effective solutions while maintaining high-quality standards.
  • Logistics Management : Oversee all logistical aspects of events, including scheduling, equipment setup, and on-site coordination.
  • Design and implement engaging event experiences : Develop innovative and immersive event concepts that align with corporate objectives, ensuring a memorable and impactful experience for attendees through creative use of technology, decor, and interactive elements.
  • Communication : Prepare and distribute event-related communications, including invitations, agendas, and follow-up materials.
  • Problem-Solving : Address and resolve any issues that arise during the planning and execution of events, ensuring a seamless experience for all participants.
  • Post-Event Evaluation : Conduct post-event evaluations to gather feedback and identify areas for improvement.
  • This role may require occasional travel and the ability to work flexible hours, including evenings and weekends, to accommodate event schedules.
  • Skills :

  • Minimum of 3-5 years of experience in event planning, with a focus on corporate events and leadership meetings.
  • Excellent organizational and project management skills.
  • Strong communication and interpersonal skills.
  • Ability to work under pressure and meet tight deadlines.
  • Proficiency in event management software and Microsoft Office Suite.
  • Attention to detail and a high level of accuracy.
  • Strong problem-solving skills and the ability to think on your feet.
  • A proactive and positive attitude.
