Position Overview :

We are seeking a highly organized and energetic Assistant Event Coordinator to join our dynamic events team. The successful candidate will assist in planning, organizing, and executing events, ensuring seamless operations and a memorable experience for attendees. This role requires excellent communication, multitasking, and problem-solving skills, with a passion for delivering exceptional events.

Key Responsibilities :

Event Planning & Support :

Assist the Event Coordinator in planning and organizing events, including corporate meetings, conferences, weddings, and other special occasions.

  • Help develop event timelines, budgets, and schedules to ensure all aspects are well-coordinated.

Logistics Management :

Coordinate event logistics such as setup, registration, catering, transportation, and equipment.

  • Prepare and distribute event materials (e.g., programs, signage, badges).
  • On-Site Support :

    Provide hands-on support during events, ensuring smooth operations and addressing any issues that arise.

  • Assist with attendee inquiries and resolve concerns promptly.
  • Administrative Duties :

    Maintain accurate records of event details, including budgets, schedules, and contracts.

  • Handle communications, such as emails, phone calls, and invitations.
  • Post-Event Evaluation :

    Assist in gathering attendee feedback and preparing post-event reports.

  • Contribute to the continuous improvement of event processes and strategies.
  • Qualifications :

  • High school diploma required; a degree in Event Management, Hospitality, or a related field is a plus.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Ability to multitask and work effectively under pressure.
  • Proficiency in Microsoft Office Suite and event management software (preferred).
  • Creative problem-solving and attention to detail.
