Job Summary
The Office Assistant / Accounting Assistant is responsible for supporting basic accounting and administrative functions.
Duties and Responsibilities :
Greet and assist visitors that may arrive at the officeAnswer Phones (take detailed messages)Direct phone calls, disseminating correspondenceDeal with initial customer issues potentiallyMaintain files and records with effective filing system (paper and electronicKeep track of company bills and post to accounts they are paid fromUpdate vendor login information as needed in QuickBooks (for team access)Keep track of office supplies / office snacks, keep stocked and place orders as neededPurchase Orders trackingReceive inventory and enter into QuickBooksTrack accounts payables – electronic payables and credit card payablesTrack expenses on credit cards and enter chargesSupport the team through various administrative tasks as assignedSupport / Assist with marketing strategies and coordinate activity with outside marketing firmKeep Office Tidy and clean, various tasks done weekly or monthlyHelp plan company eventsHelp keep track of company birthday’s and plan for themAccounts ReceivablesAssist with Sales Goals / Budget planningAssist with Vendor RMA’s (returns)Assist with Certificates of InsuranceAssist with Payroll (updating employee timesheets)Assist with projects as neededRequired Skills, Education, and Experience :
High School Diploma or Associates DegreeDemonstrated customer service skillsBasic computer skills including MS Office, with the ability to adapt to new software or internet-based programsStrong verbal and written communication skillsAbility to work in a team environmentClear attention to detail and ability to multi-taskAdaptable to change and meets varied deadlinesStrong work ethic and reliabilityAbility to maintain confidentialityPossesses a pleasant and professional demeanorExcel Spreadsheet knowledge a plusQuickBooks Experience a plusKnowledge of basic accounting principles is a plusWork Environment and Physical Requirements :
