This is an office-based position and for the effective performance of this role, the duties and responsibilities must be carried out onsite.
Key responsibilities of the Associate include :
Assisting Wealth Strategists with all aspects of the sales process relating to identification of potential prospects and generating new trust and investment business including; prospect research, pipeline maintenance, presentation preparation, and other activities essential to effectively managing the sales process, reviewing new business requirements, preparing necessary documentation, and working with various internal teams and systems to provide a seamless prospect onboarding experience while ensuring we are following and meeting our published new business guidelines and goals.
The target market is ultra-high net worth individuals and families, foundations, endowments, and non-profit organizations.
The goal is to provide the Associate with skills required to transition into a producing New Business Specialist within 2-5 years.
Major Duties :
Research prospects through Factiva and Lexus Nexis. Prepares reports and customizes
materials (i.e. letters, agreements, marketing updates) for prospect,
COI or client meetings and presentations.
Makes necessary arrangements for prospect, COI or client meetings
involving travel, audio-visual aides, seminar / lunch / dinner reservations,
meetings, seminars, etc.
Performs special projects (i.e. coordinating reports, preparing account
analysis and workflow reports) that require responding to specific
account inquiries and issues.
Work with prospect database to implement proactive DRIP campaign
to convert leads into prospects.
Reviews and organizes all asset / family information and trust
documents to assess the banks appointment status, and any
discrepancies between documents. Reviews all correspondence and
accompanying documentation from prospects and attorneys to
assimilate all possible information about new business opportunity.
Submits account documents to the legal area and external attorneys
after inspecting them to ensure adherence to established guidelines
and to obtain missing information, correct documents, clarify
information, and resolve problem situations.
Works with Wealth Strategists to maintain active prospect files and
sets reminders to initiate calls and annotates call reports for making forward progress.
Composes letters to prospective clients and follows up with telephone calls to arrange meetings.
Communicates with client team on all aspects of a prospect / client
relationship and initiates activity which fulfills a partners' or clients’
needs.
Responds to individual prospects / clients' inquiries and respond
through written correspondence or via telephone.
Develop in-depth knowledge of a full range of trust-oriented services
e.g. personal trusts, living trusts, wills, investment management,
security custody, financial consulting, estate and tax planning).
Attend meetings and classes to keep abreast of personal financial planning and investment management products and services.
Stays up on latest technology enhancements and trainings to ensure we are keeping up with competition (i.e. DocuSign, Salesforce, etc.).
Works hand in hand with our internal National Client Services Support Services along with Middle Office and Funding Teams to ensure prospects onboarding documentation is produced, executed, reviewed and submitted flawlessly to receive assets.
Assists with training of new joiners with onboarding and new business requirements, fee proposal generator, entering of new business opportunities, adjustments, future fees, etc.
Be able to assist with sales calls for both prospects and COIs without the
assistance of a Wealth Strategist.
Assist Wealth Strategists with Regional Roundtable submissions to executive leadership.
Knowledge / Skills :
Knowledge of trust and investment, fiduciary products and services are required to perform job duties (e.g. personal trusts, living trusts, wills, investment management, security custody, financial consulting, estate planning), including fee structures, documentation, policies and procedures usually acquired through work-related instruction or work experience is required to respond to account related matters and various sales situations.
Knowledge of the bank computer applications (e.g. Sales Force, DocuSign, Trust Systems) is required to generate sales reports and prospect documentation.
Knowledge of the duties performed within the various departments and divisions of the bank acquired through work experience is required to direct inquiries and requests for client-related information.
Analytical, organizational and sales skills are required to proactively manage the sales process. Interactive skills are required to understand prospect needs and respond with the appropriate solutions.
Experience Required :
Undergraduate Degree or equivalent experience required.
Trust School and CFP encouraged.
Strong computer skills, including Excel, Word and PowerPoint are required.
2-5 years of trust sales or trust relationship management experience
