Position Summary :

Son of a Saint is looking for a full-time Executive Assistant to the CEO to join our team. Reporting directly to the Founder & CEO, the Executive Assistant provides executive support in a one-on-one working relationship.

Essential Duties and Responsibilities :

Track the CEO’s responsibilities and duties to ensure that his time is effectively prioritized and goals achieved

Track CEO commitments, goals, projects, tasks and deadlines as it relates to his personal and professional responsibilities

Ensure items are effectively delegated, reprioritized, or addressed, navigating conflicting demands and time pressure;

Maintain the CEO’s calendar; ensure his time is allocated to the highest priorities;

Attend select meetings, take notes, capture action items, and ensure follow through;

Confirm that attendees will be present and complete preparatory work, such as agendas and committee reports;

Schedule and organize speaking engagements;

Handle select matters expeditiously and proactively; follow-through to successful completion;

Anticipate and address problems.

Represent the CEO in internal and external communications

Provide a bridge for smooth communication between the CEO and Board member, staff, supporters and others;

Ensure that all stakeholders feel good about their interactions with you and the office of the CEO;

Draft and edit correspondence that is often sensitive and confidential;

Ensure that the CEO’s biography is kept up to to date and responds to requests for materials regarding the CEO and the organization in general

Monitor incoming emails to the CEO’s account and aid with quick replies when appropriate.

Manage administrative and logistical issues

Maintain the CEO’s personal and professional calendar;

Arrange complex and detailed travel plans, itineraries, and agendas;

Gather and organize receipts for any purchases by the CEO

Support partner relationship development

Follow up on contacts made by the CEO; support the cultivation of ongoing relationships.

Perform other related duties as requested or responsibilities dictate.

Education / Experience :

Bachelor’s degree required

Work experience as an Executive Assistant, Personal Assistant or similar position

Driver’s license, auto insurance, and reliable transportation

Experience in the nonprofit sector is preferred

Other Qualifications :

Familiarity with the nonprofit sector and our mission

Highly organized, and highly detail-oriented with strong project management and organization skills; able to perform and prioritize multiple tasks seamlessly

Proven ability to use outstanding interpersonal, political navigation, and communication skills to build strong relationships and negotiate challenging situations, often with senior executives, in a friendly and professional way

Strong written and interpersonal communication skills

Excellent organizational skills and is able to work independently and collaboratively with minimal supervision

Comfortable in a high performing, fast-paced and quickly growing organization; demonstrated ability to achieve high performance goals, meet deadlines and adapt to changing circumstances

Emotional maturity

Candidates must be able to lift up to 50 pounds.

Ability to write by hand and use the keyboard to perform general functions.

Visual acuity (close, distant, peripheral vision, and the ability to adjust focus and view accurate color perception) needed for detail work, and computer use.

Ability to sit for extended periods of time.
