Job description

Position Purpose :   The Accounting Administrative Assistant is responsible and accountable for handling all general office / clerical duties, including accounts payable processes. This person will assist with basic HR / Payroll duties.  In this role, handling multiple tasks / projects is crucial. Effective communication with coworkers, upper-level Management, and internal & external customers is critical. Attention to detail and working well with others is a must.

General Description of Duties and Responsibilities :

Accounting and General Office :

  • Enter all sales totals of all stores into QuickBooks.
  • Enter all wholesale orders into QuickBooks.
  • File vendor invoices / receipts & customers invoices / receipts into QuickBooks
  • Maintain customers & vendor files
  • Route accounts payable invoices for approval and post in the accounting system.
  • Managing databases, files, reports, records, and spreadsheets.
  • Assist team with administrative tasks.
  • Perform administrative duties for Controller and department heads as may be  required
  • Maintain office supplies.
  • Perform other duties as requested by the Controller.
  • Accounting Clerk backup so will be trained in those duties as well.

Human Resources :

  • Handle all matters with confidentiality, sensitivity, and knowledge.
  • Bi-weekly payroll sorting and distribution.
  • Work with the Accounting team on manual check needs and processing final termination packets.
  • Additional duties / responsibilities may be assigned as the business / department evolves.
  • Experience / Education / Requirements :

  • Associate degree with three years experience in a similar capacity (preferred); BA  desirable
  • Knowledge of Word, Excel, Microsoft Advance, QuickBooks, and Ceridian software is a must.
  • 10-Key Proficient, basic office equipment.
  • Have the ability to define problems, collect data, establish facts, and draw valid  conclusions (basic math skills)
  • Must have excellent writing and verbal skills.
  • Keen business sense; able to exercise good judgment as necessary.
  • Must be very thorough.
  • Must be able to work with and maintain confidential information at all times.
  • Must be detail-oriented and able to handle multiple priorities.
  • Physical Requirements :

  • Must be able to lift up to 15 lbs. to waist height.
  • Frequent bending, turning, kneeling, and stooping.
  • Must be able to sit for extended periods of time.
  • Repetitive motion is required for computer entry.
  • Must be able to fluently speak and write the English language.
