Executive Assistant

Location : Atlanta, GA (Northside Drive and I-285) Reports to : CEO

Position Overview

Our client, a family-run management group overseeing diverse businesses including real estate, automotive, and livestock, seeks a highly trustworthy and proactive Executive Assistant to support their CEO. This role requires exceptional interpersonal skills, discretion, and the ability to manage executive administrative tasks, ensure smooth office operations, and handle some financial responsibilities. The ideal candidate is a self-starter with a meticulous attention to detail, a legal mindset, and a willingness to learn and think outside the box.

Key Responsibilities

Executive Support :

Act as the CEO's primary point of contact, demonstrating excellent communication and customer service across all mediums.

  • Manage complex and ever-changing calendars, coordinating meetings and calls with multiple parties.
  • Prepare meeting materials, track follow-up tasks, and provide comprehensive administrative support.
  • Handle sensitive and confidential information with the utmost discretion.
  • Manage personal and professional projects for the CEO as needed.

Office Management :

Oversee all daily office functions, including supply inventory, ordering, and vendor relationships (e.g., printers, phones).

  • Manage incoming and outgoing mail, phone calls, and maintain a highly organized and professional office environment.
  • Manage office storage and filing systems.
  • Run errands and perform bank-related tasks as required.
  • Troubleshoot technology issues and coordinate with vendors.
  • Financial and Administrative Support :

    Utilize QuickBooks for basic financial entries and reporting (training provided if needed).

  • Prepare and maintain spreadsheets, documents, and reports for CEO review.
  • Liaise with the external CPA firm and develop familiarity with company banking relationships.
  • Qualifications

  • Bachelor's degree preferred; equivalent professional or administrative experience considered.
  • 3+ years of relevant administrative experience.
  • Demonstrated history of accountability, follow-through, and excellent time management skills.
  • Exceptional organizational skills and meticulous attention to detail.
  • Ability to manage multiple priorities and projects with ease.
  • Adaptable and comfortable with evolving work demands.
  • Positive, proactive, and professional demeanor.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Drive, Docs, Sheets).
  • QuickBooks experience preferred.
