Summary
The Administrative Assistant II within the Office of the Dean of Students plays a pivotal role in providing comprehensive administrative support to the Dean of Students. Responsibilities encompass the efficient management of the office's daily operations, including the oversight of Dean of Students Email and office phone communication, as well as ensuring seamless coordination and appropriate referrals.
This role is entrusted with the essential task of hiring and training student employees, fostering a dynamic and effective team that contributes to the overall functionality of the office. Essential Functions
Office Management
Maintains a welcoming, supportive, and confidential office environment. Receive, prioritize, and screen communications to Dean of Students, including email messages and telephone calls, from students, parents, university population, as well as general public through Dean of Students Outlook Mailbox, and Office Phone / Voicemail.
Assists with maintaining the calendar of the Dean of Students; schedules and coordinates appointments, including scheduling of appropriate room reservations for meetings.
Hires, trains, approves hours of and supervises all Student Employees.
Administrative Support
Assists Dean of Students with preparation of correspondence, communications, and other documents, such as Departmental Board Reports, Annual Reports, Emails, etc. Assists the Dean of Students and other constituents in the coordination and facilitation of training workshops. Assists in the coordination of events hosted by the Dean of Students and Division of University Administration such as but not limited to In-Service trainings, staff retreats or recognition functions, compliance regulated trainings.
Assists Dean of Students with maintaining up to date Web presence such as but not limited to Student Handbook, Dean of Students Web Page, etc.
Qualifications / Requirements
An Associate's degree, or vocational / technical degree is required. A Bachelor's degree is preferred.
1-3 years of administrative experience is required.
Proficiency with MS Office Suite, Guardian Case Management software, and other university systems
Must have the ability to process and handle confidential information with discretion
Compose correspondence to students, parents, faculty and staff
Excellent interpersonal, verbal and written communication skills.
Strong organizational skills and ability to prioritize and complete simultaneous projects within deadlines.
