Job Summary : The Office Administrator plays a crucial role in maintaining the operational efficiency of the branch. This position is responsible for overseeing administrative functions, coordinating communication, and ensuring that all systems and processes run smoothly. The Office Administrator provides direct support to the Regional Administrative Manager and serves as the central point of contact for branch-related administrative tasks.
Major Responsibilities
- Input and manage commissions in Corelink Pro, ensuring accuracy and timeliness.
- Close out jobs in systems, confirming all necessary documentation and steps are completed.
- Pull and load material invoices into Corelink Pro and AccuLynx for accurate record keeping.
- Maintain and organize job folders to ensure compliance with company standards.
- Send invoices and receipts to homeowners, ensuring timely and professional communication.
- Keep the RHO card updated and ensure all relevant information is accurate.
- Send out build texts to notify appropriate parties of scheduled builds.
- Coordinate and process ITEL and NTS orders as needed.
- Create new jobs in Corelink Pro, ensuring all required details are entered correctly.
- Log all checks received at the branch in Corelink Pro and ensure proper documentation.
- Perform daily deposits for the branch, maintaining strict accuracy and security protocols.
- Coordinate labor check pickups for the branch, ensuring timely disbursement.
- Control and update the branch team information file in SharePoint, ensuring accuracy and accessibility for assigned branches.
- Ensure the build calendar is consistently maintained and up to date in the branch office.
- Maintain the CLP dashboard calendar for assigned branches, ensuring all schedules are accurate and aligned.
- Order and manage business cards for branch staff as needed.
- Promptly answer incoming phone calls and direct them to the appropriate staff or department.
- Greet visitors warmly, ensuring they feel welcomed and are directed appropriately.
- Handle incoming and outgoing mail and packages, ensuring efficient distribution.
- Maintain a clean, organized, and welcoming reception area for the branch office.
- Ensure that office equipment is in good working condition and coordinate maintenance or repairs as necessary.
- Act as the point of contact for office vendors, service providers, and building management.
- Manage and maintain office calendars, schedule meetings, appointments, and events for staff and executives.
- Coordinate meeting rooms and ensure necessary equipment (AV, projectors, etc.) are set up and ready.
- Assist with organizing internal and external events, includin g conferences, workshops, and team-building activities.
- Answer phone calls, respond to emails, and handle general inquiries from staff, clients, and visitors.
- Prepare and proofread correspondence, memos, reports, and other documents as requested.
- Ensure clear and effective communication between departments, management, and external stakeholders.
- Greet and assist visitors, clients, and guests, providing a positive and professional first impression.
- Manage visitor logs and ensure security protocols are followed.
- Coordinate travel and accommodation arrangements for guests or business travelers when needed.
- Maintain an organized filing system for physical and electronic records, ensuring documents are easily accessible.
- Assist with document preparation, scanning, and archiving as necessary.
- Assist with preparing reports, presentations, or other materials needed for meetings or projects.
- Assist with ad-hoc administrative tasks, projects, or research as requested by management.
- Help maintain office policies, procedures, and systems to ensure smooth operations.
Education / Experience Requirements
High school diploma or GED required. Additional coursework in Business Administration or a related field is a plus.2+ years of administrative experience, preferably in an office or operational environment.Skills
Strong organizational and multitasking abilities.Excellent verbal and written communication skills.Proficiency in Microsoft Office Suite and relevant software tools (e.g., Corelink Pro, AccuLynx).Attention to detail and a commitment to accuracy.Ability to work independently, manage multiple priorities, and solve problems proactively.Ability to prioritize tasks and meet deadlines in a fast-paced environment.Strong interpersonal skills and the ability to work collaboratively with team members.Basic understanding of compliance and operational procedures.Ability to maintain confidentiality and handle sensitive information with discretion.This role will start with a rate of $ 20.35 per hour.
