Job description

Job Summary : The administrative assistant - accounting & administration will provide support to the department including phone coverage and office supply needs, perform accounts receivable and collections duties, and oversee contracts for building cleaning and maintenance. Successful admin assistants will have exceptional customer service skills, be resourceful and have the ability to solve problems. This non-exempt position reports to the manager of accounting.

Responsibilities & Duties :

  • Handle customer accounts including invoicing, payment processing and collections. Demonstrate a high level of judgement in collections - balance the need to collect with sales goals and relationships. Keep up to date customer collection files.
  • Maintain organized and accurate property and tenant information. Oversee cleaning & maintenance of properties. Issue parking permits, follow up on parking issues and disputes.
  • Ensure coverage of customer phone and email communications, routing as needed.
  • Process incoming and outgoing mail / commercial deliveries including intercompany mail and trips to the post office.
  • Order and maintain office supply inventory and manage office equipment - such as printers and copiers, to reduce downtime.
  • Work with filing clerk to manage and organize customer files, vendor documents, and other records.
  • Responsible for bank bag including pick-up, preparing daily deposit, and deposit tracking log.
  • Assist with the successful execution of the annual users group conference.

  • Education & Experience :

  • Basic accounting skills
  • Minimum two years of office experience.
  • Experience with Microsoft applications (Word, Outlook, Excel)
  • Travel / Working Conditions This position is located in office at our Billings, Montana location.
