Location :

Boston preferred (where the hiring manager sits). Open to Washington DC or Dayton. NYC only for an exceptional candidate, as the office is already at capacity.

About the Role :

The Senior Communications & RFP Specialist will play a key role in managing and streamlining internal and external communications for the Information Services (IS) department. This individual will be responsible for crafting and managing responses to Requests for Proposals (RFPs), client surveys, and Outside Counsel Guidelines (OCGs) from an IT perspective, ensuring clarity, consistency, and accuracy.

In addition to RFPs, the Specialist will oversee content curation and database management within the firm’s CRM system, Foundation. This includes cleaning, maintaining, and updating information to ensure seamless access to accurate content. The ideal candidate will have strong writing skills, excellent communication abilities, and a background in professional services (not necessarily legal).

The role will also support change management initiatives for IS projects, assisting in planning, communication strategies, and stakeholder engagement, particularly for projects like data center moves and system changes.

Key Responsibilities :

  • RFP & Client Communication Management

Lead the development and management of RFP responses related to IT, leveraging existing language while creating and updating content as needed.

  • Coordinate responses to client surveys and Outside Counsel Guidelines (OCGs), particularly around IT security, data storage, and technology policies.
  • Work with internal stakeholders and subject matter experts to tailor communications for global audiences and ensure clarity across different regions.
  • Ensure timely and high-quality completion of all RFPs, surveys, and OCG responses.
  • Content Curation & Database Management
  • Maintain and improve the content repository for Foundation CRM, ensuring all RFP-related materials are accurate, up-to-date, and easily accessible.

  • Organize and standardize content for reuse while ensuring alignment with firm and client needs.
  • Support strategic planning efforts by managing content approvals and obtaining necessary signatures.
  • Change Management & Internal Communications
  • Develop and implement change management plans for IT-related projects, ensuring smooth adoption across the firm.

  • Craft and deliver communications for system updates, data center moves, and other technology changes, ensuring stakeholder alignment.
  • Tailor messaging to different audiences, balancing technical accuracy with accessibility for non-technical stakeholders.
  • Work closely with the marketing and communications teams to ensure firm-wide consistency in messaging.
  • Qualifications :

  • Strong writing and communication skills—ability to translate complex IT concepts into clear, compelling messaging for diverse audiences.
  • Experience in RFP writing, content curation, and database management within a professional services environment.
  • Familiarity with CRM systems (Foundation experience is a plus).
  • Ability to manage multiple projects and competing deadlines with strong project management skills.
  • Change management experience, including stakeholder collaboration and strategic communication planning.
  • Ability to work effectively with IS teams, attorneys, and business professionals.
  • Experience tailoring communications for global audiences, understanding nuances in translations and cultural considerations.
  • Experience in professional services (law firm background is a plus but not required).
  • Bachelor’s degree required.
  • 5+ years of experience in communications, RFP writing, or change management preferred.
