We are currently partnering with our trusted client Midco , for an Executive Assistant to the President / Chief Operating Officer (COO) , located in their operational headquarters in Sioux Falls, South Dakota.

The Role

The Executive Assistant to the President / COO plays a critical role in ensuring seamless operations by managing information flow, schedules, and tasks. This role involves high-level administrative support, including calendar management, email oversight, travel coordination, event planning, expense reporting, and other essential functions. The ideal candidate is proactive, highly organized, and possesses exceptional communication, prioritization, and problem-solving skills. A high level of emotional intelligence and the ability to balance multiple priorities in a fast-paced environment are key to success in this role.

Primary Responsibilities

Executive Support

Serve as the primary administrative partner to the President / COO.

Manage and prioritize complex calendars, field scheduling requests, and conduct an annual review of standing meetings for efficiency.

Monitor and manage email correspondence, ensuring urgent matters are addressed promptly.

Coordinate executive outreach, including industry trade association relations and key partnerships.

Prepare the President and COO for meetings by gathering agendas and materials in advance.

Schedule, attend, and document key leadership meetings as required.

Event & Logistics Management

Plan and oversee logistics for corporate events and engagements led by the President and COO.

Arrange and coordinate detailed travel plans, including itineraries and accommodations.

Organize company-wide leadership meetings and assist with event execution.

Administrative & Financial Duties

Handle expense reporting and approvals for the President / COO, and his direct reports.

Compose and manage confidential correspondence.

Maintain an organized, secure password management system.

Process invoices and incoming mail.

Support other executives and leadership team members as needed.

Operational Efficiency & Strategic Contributions

Work with a high level of discretion and diplomacy in handling confidential information.

Take initiative in problem-solving, ensuring a proactive and solutions-oriented approach.

Manage multiple projects with competing deadlines while maintaining attention to detail.

Communicate effectively across teams, ensuring alignment with organizational goals.

Provide independent judgment and decision-making when necessary to represent the executive team.

Tech Savvy : Proficient in Outlook, Word, Excel, PowerPoint, and web / video conferencing tools.

Education / Experience

Bachelor's Degree preferred or equivalent work experience.

5+ years of executive assistant experience in the C-Suite, supporting a President, CEO, CFO, COO, or similar.

Advanced proficiency with Outlook, Outlook Calendar as well as key applications such as Word, Excel, PowerPoint, and web / video conferencing skills required.

Specific experience managing busy / complex calendars and email accounts on behalf of an executive

A strong team player, who thrives in a collaborative setting and can work with individuals at all levels of the organization.

Exceptional attention to detail with strong problem-solving skills.

Executive-level written and verbal communication skills. Experience interacting with external and internal executives and constituents.

Skilled in the use of standard office equipment (e.g., copiers, business telephone systems).

Ability to manage multiple projects and initiatives simultaneously, ensuring timely and effective execution.

Possesses communication skills to effectively convey ideas and collaborate with diverse groups.

Flexibility to adjust strategies and approaches based on changing needs and organizational priorities.

The team member is occasionally required to reach with hands and arms, stoop, kneel, or crouch.

The noise level in the work environment is low to moderate.

Team members may be required to work over 40 hours per week and other than normal business hours, such as holidays, evenings, and weekends as business demands.
