Performs daily administrative duties as directed by the Program Manager – Fair Hearings & Legal Affairs.Processes and distributes incoming mail accurately and timely.Records and relays messages. Directs people or calls to appropriate person(s). Assists with scheduling meetings and / or assessments. Effectively deals with anxious or irate callers.Accurately copy, scan, file, and distribute various documents internally as needed or assigned. Scan material as directed and catalog appropriately for accurate retrieval. Keep filing current.Enters data using Word and Excel programs and other network applications. Input data on forensic calendar and case logs as directed.Creates new case files in paper and / or electronic format as directed.Prepares necessary correspondence and reports as requested in a timely manner. Assists in the timely processing of court orders by pulling and / or requesting minute orders and other court documents, saving / filing and sending these documents to assigned staff with instructions as appropriate.Assists in the timely filing of reports to various courts and agencies by preparing coversheets, proof of service documents, and fax cover sheets. Accurately completes service by mailing, faxing, emailing, and / or uploading documents to required parties.Assists with work over-flow and provides back-up to unit administrative staff as needed.Keeps the Program Manager – Fair Hearings & Legal Affairs informed of pending work, work in progress, any unsafe working conditions, and problems encountered.Utilizes bilingual skills in all aspects of the job as able and as required.Assures that consumers’ rights and dignity are maintained in the provision of services.Seeks to maintain and expand knowledge as it relates to consumer rights issues, corporate and personnel issues.Utilizes equipment appropriately and reports need for repair promptly. Keeps work area neat and orderly and free from hazards.Utilizes the Agency’s IT systems as assigned, maintaining security and following agency’s protocol and procedures, rules and requirements.Works cooperatively and effectively with others. Perform as a member of the team, answer questions, share expertise and contribute to the harmony of the team.Performs different or additional work as assigned.MINIMUM POSITION REQUIREMENTS :
High school diploma or equivalent.Thirty-six (36) months of office clerical work; 24 of 36 months must include skilled typing and processing of a heavy volume of documents requiring accurate and rapid handling. Two years prior experience in a legal setting is desired.Knowledge of general office practices and procedures including business correspondence, filing, and operation of office equipment.Ability to organize work to meet deadlines.Maintains good attendance and punctuality.Ability to perform clerical work involving independent judgment, accuracy and speed.Ability to learn and follow complex policies and procedures.Ability to learn how to read court orders and understand complex regional center legal responsibilities.Ability to spell and punctuate correctly and do basic math.Ability to follow oral and written directions and ability to type accurately.Bilingual preferred.Ability to handle change well and be flexible and adaptable in dealing with interruptions, new priorities, and new assignments.Ability to follow oral and written direction.Ability to work cooperatively and effectively with others.
