Job description

Summary :

The Facilities Manager will work closely with the Director of Operations and Director of R&M to support all facilities activities. The Manager will be the first point of contact for internal and external customers seeking support and information from the Facilities organization. The Facilities Manager will provide administrative support to the Director of Operation and Director of R&M and the Facilities organization, manage office functions including

Work Order coordination

Database management

Daily office operations

Coordination of budgeting / accounting systems

Maintaining office records

Provide general support services for the divisional staff

Additionally, the Facilities Manager under the supervision of the Director of R&M will manage all outside contractors and vendors in support of the Facilities Department, including maintaining records and contracts, coordinating project activities, and providing scheduling support.

Essential Duties and Responsibilities :

Assist the Facilities organization in all aspects of project implementation as needed

Use industry knowledge and independent judgment to approve work at the store level

Support the Facilities organization with external contacts as needed.

Manage the Security access-control database in conjunction with the Security Contractor Represent the Facilities Department in inter-departmental meetings to support and facilitate communication and action between departments.

Coordinate all Facilities activities, work direction, and support systems.

Maintain and update administrative policies and processes.

Set up, maintain, and organize the department's central files, information, filing, and messages.

Source and provide facilities staff in locating parts, supplies, and materials.

Prepare and maintain RFP's, bid information, and other contract documents.

Prepare internal bill-backs and documents for events supported by the Facilities organization.

Provide tactical and decision-making support to the operations team for facility matters.

Responsible for occasional overnight and weekend support via remote communication with the operations leadership team.

Manage the CMMS system, including receiving work requests, assigning work orders, entering system data, and providing the overall system administration.

Must conduct self in an ethical, legal, and responsible manner at all times.

Must adhere to the policies, principles, and guidance within the Employee Handbook and Code of Business Conduct.

Education / Experience :

Associate's degree and 2 years of facilities management experience or 4 years of facilities management experience.

Extensive use of computerized maintenance management systems.

Demonstrated ability to work and communicate professionally, verbally, and in written form with internal and external customers.

Demonstrated customer service excellence

Microsoft Suite of products including Excel, Outlook, Word, and PowerPoint Building management and Facility and Maintenance operations.

Maintenance management software

Ability to prioritize and maneuver through the management of multiple conflicting priorities within the business regions.

Ability to understand operational and regional issues and communicate effectively with leadership

Be flexible and available to interact with employees at all levels.

Be self-directed and motivated.

Take the initiative to identify and anticipate client needs and make recommendations for implementation.
