AP Professionals has partnered with a local real estate company in search of a diligent and detail-oriented Transaction Coordinator. This role is essential for ensuring the smooth processing and management of real estate transactions. The successful candidate will be responsible for monitoring, reviewing, and organizing transaction documentation in our paperless pipeline system, coordinating with various stakeholders, and ensuring compliance with all required procedures.

Responsibilities

  • Monitor and manage Working Docs in the paperless pipeline. Create transactions, assign documents, and ensure accurate and complete paperwork for all listings and sales transactions.
  • Request and collect missing or incomplete paperwork. Review, scan, and upload deposit checks to the paperless pipeline. Handle pending referrals and rentals, enter them into Lone Wolf, and record transaction numbers for payouts.
  • Confirm receipt of contracts upon cancellations and releases, update statuses in the paperless pipeline, merge documents, and notify relevant parties to process refunds.
  • Collect, review, and upload outside broker invoices. Send invoices to the paperless pipeline after attorney review and coordinate with outside brokers on discrepancies.
  • Look up MLS details and email them to the paperless transaction system. Update transaction statuses in the paperless pipeline and monitor the dashboard for transactions needing immediate action.
  • Track transactions past their closing dates and follow up as necessary. Manage and correct duplicate transactions and respond to agent inquiries about the paperless pipeline.
  • Assist and train part-time Transaction Coordinators in using Lone Wolf and the paperless pipeline. Review transaction paperwork with agents who do not use the paperless system and help locate old transaction files.
  • Respond to inquiries from agents, attorneys, and outside brokers regarding escrow deposits. Research and address discrepancies in deposit checks.
  • Monitor accounting contracts Gmail and personal email to respond to agent inquiries. Send and request W-9 forms from outside brokers and enter them into Lone Wolf. Verify outside broker addresses and fax numbers.
  • Update agent license expiration dates in Lone Wolf. Send verification of deposit letters to attorneys as requested.
