Our Greenway Plaza client is seeking a skilled Litigation Secretary to provide comprehensive administrative and clerical support to attorneys. This role is crucial in ensuring the smooth operation of litigation processes and the efficient handling of legal documentation, correspondence, and scheduling. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to handle a fast-paced work environment.
Key Responsibilities
Document Preparation :
- Draft, format, and proofread various legal documents including pleadings, briefs, discovery responses, motions, and correspondence.
- Prepare and file documents electronically with state and federal courts.
Case Management :
Assist attorneys with the preparation and organization of case files, including maintaining pleadings and correspondence files.Manage and organize exhibits, discovery materials, and trial notebooks.Scheduling and Coordination :
Coordinate and schedule meetings, depositions, hearings, and court appearances.Maintain and update attorneys’ calendars and ensure timely reminders for key deadlines and appointments.Communication :
Handle incoming and outgoing communications, including phone calls, emails, and mail.Liaise with clients, opposing counsel, court personnel, and other stakeholders as needed.Administrative Support :
Perform clerical duties such as photocopying, scanning, faxing, and filing.Manage time entry and billing processes, including reviewing and editing billing memos.Prepare expense reports and handle travel arrangements for attorneys.Legal Research :
Conduct preliminary legal research using online resources and legal databases as needed.Assist in gathering information and documentation for cases.Compliance :
Ensure compliance with court rules and procedures.Maintain confidentiality and discretion in handling sensitive legal matters and documents.Qualifications
Education :
High School Diploma or equivalent required.Associate’s or Bachelor’s degree in Legal Studies, Paralegal Studies, or related field preferred.Experience :
Minimum of 3 years of experience as a legal secretary or litigation assistant in a law firm setting.Insurance Defense experience required.Familiarity with litigation procedures, court rules, and legal terminology.Skills :
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal software (e.g., case management, e-filing systems).Strong typing skills and a keen attention to detail.Excellent organizational, communication, and interpersonal skills.Ability to prioritize tasks, manage time effectively, and work under pressure.Strong problem-solving skills and the ability to work both independently and as part of a team.Their firm offers a friendly and professional work environment with a 37.5-hour workweek, great benefits, and paid time off.
