Responsibilities :

Administrative Responsibilities :

  • Efficiently support the day-to-day operations of the legal office.
  • Serve as the receptionist and first point of contact for clients and visitors, handling incoming and outgoing communications with professionalism and courtesy.
  • Scan, organize, and maintain digital records of critical legal documents.
  • Assist in mailing and shipping, ensuring accurate and timely delivery of legal documents and correspondence to relevant parties.
  • Work with the supervising team to document and streamline office processes, creating clear and comprehensive guidelines to enhance efficiency and consistency.
  • Demonstrate proficiency in digital tools and platforms relevant to office management, contributing to the technological advancement of the legal office.
  • Take initiative in special projects and additional duties, contributing to the overall success of the legal office.

Billing & Accounts Receivable Management :

  • Generate and send invoices and trust fund requests to clients in a timely manner.
  • Track outstanding payments and follow up on overdue invoices and trust fund requests professionally and persistently.
  • Maintain accurate billing records and update client accounts as needed.
  • Communicate with clients regarding payment issues, resolving disputes, and coordinating payment arrangements.
  • Collaborate with the legal and finance teams to ensure billing accuracy and compliance with firm policies.
  • Legal Support Responsibilities :

  • Provide administrative support for attorneys and staff as needed.
  • Uphold confidentiality and compliance with legal and ethical standards, maintaining professionalism in all interactions.
