Job description

The Capital Management Medical Equipment Planner is responsible for driving and managing the capital medical equipment development process from planning / programming through occupancy for all capital projects. The candidate will be required to successfully plan, manage, and participate medical equipment on multiple healthcare projects simultaneously.

The focus of this position is medical equipment planning, coordination, needs assessment, inventory and coordination with project management staff in the procurement and installation of all major, minor, fixed and IT equipment for all UIHC Capital Projects. This position will be required to travel to off-site facilities for MEQ inventories and to assess equipment replacement requests.

  • Lead the medical equipment planning process for healthcare projects, from initial concept through installation. Participate in medical equipment planning meetings throughout project design phases with clinical users, architects, engineers, and consultants to support the selection of appropriate medical equipment and attend off-site and remote client planning meetings and conduct virtual meetings.
  • Plan, execute, monitor, & manage medical equipment & ancillary items for assigned capital improvement projects of various size and scope, and in various stages, simultaneously.

o Serve as the primary liaison between design teams, healthcare providers, and manufacturers to ensure equipment meets clinical and operational requirements.

o Coordinate and lead medical equipment planning meetings, document meeting minutes, outcomes, and activities. Follow up with stakeholders and vendors for status of project activities.

o Assess and advise development and management of equipment budgets for projects, update budget throughout the project life cycle. Manage complex budgets and contracts that are funded by multiple sources, provide budget documentation as requested.

o Develop existing medical equipment inventories and identify usable existing equipment, consider factors such as age, condition, functionality, and suitability for current and future needs.

o Issue Purchase Requisition for assigned projects following University Protocols.

o Responsible for entire procurement process; obtain quotes from vendors, issue PREq, track and document processing, coordinate all equipment bids required for the project, prepare and issue bid documents when required by purchasing.

o Review project drawings and coordinate equipment requirements on the plans. Assure all utility connections are identified, in-wall requirements are met, and clearances are clearly identified and included in design.

o Assure accurate data management of all medical equipment is maintained in software system.

  • Conducts and documents surveys and inventories of existing equipment within healthcare facilities and coordinates existing-to-reuse equipment decision making and reuse strategies.
  • Review and monitor the equipment process. Monitor monthly and weekly project assignments and report maintenance. Identifying bid requirements, organizing and executing bids and various methods of procuring and obtaining equipment for projects.
  • Resolve issues related to assigned projects. Serve as liaison between department, contractors, end users, consultants and other entities involved in project. Provide oversight of transition team responsibilities & travel to ensure the effective completion of offsite project management and installation activities.
  • Work with MEQ planning consultants when hired for large complex projects. This position is the on-site liaison for all MEQ consultants and provides direction, assists with bid preparation, issues purchase requisitions and tracks MEQ consultant progress at all project stages.
  • Determine needs of the team and assure the completion of projects. Plan sequencing and scheduling of equipment planning; project assignment report development & execution, create "Guide to Capital Management Equipment Team" & execute procedures within, and carry out other key projects that build the framework of the project team, such as procurement collaboration with other departments.
  • Assess and advise development and management of equipment budgets for projects. Review and recommend budgets. Manage complex budgets and contracts that are funded by multiple sources.
  • Provide occupancy functions for off-site projects as requested.
  • Specific to off-site capital projects. Work directly with transition consultant to provide transition assistance for installation coordination, ensuring all medical equipment is delivered, installed, and commissioned according to schedule and specifications.
  • Identify opportunities for process improvement and optimization in medical equipment planning. Implement best practices and lessons learned to enhance efficiency and effectiveness in future projects.
  • Establish and implement set of equipment standards for off-site properties.

    Required Education : Bachelor's Degree, or related combination of education and experience.

    Required Experience :

    1-3 Years of directly related experience in medical equipment planning and / or procurement

    Project Management experience.

    Experience with establishing and managing a budget.

    Excellent written and verbal communication skills

    Excellent customer service

    Exceptional organizational skills with the ability to manage multiple projects and deadlines.

    Ability to read and interpret construction drawings related to medical equipment requirements.

    Proficiency in Microsoft Office (Word, Excel, Outlook)

    Desired Qualifications :

    Comprehensive experience with medical equipment planning (typically 3-5 ears)

    Knowledge of healthcare construction

    Experience with medical equipment planning software such as Attainia, Revalize, or Four Tower is a plus.
