WHAT ARE WE LOOKING FOR?
The Sourcing & Industry Relations Coordinator plays a critical role in supporting the Sourcing team by managing key responsibilities such as RFP creation, hotel and venue sourcing, contract negotiation, meeting design and consultation, contract administration, and supplier coordination for small meetings. This position requires close collaboration with internal teams, clients, and third-party suppliers to ensure the seamless execution of small meetings venue sourcing. A successful coordinator demonstrates the ability to implement effective negotiation strategies that align with client or program-specific needs, achieving the most favorable terms while maximizing client savings and minimizing end-user risk. With a strong focus on maintaining efficient processes, precise documentation, and positive industry relationships, the coordinator supports the Meetings & Incentives department by streamlining operations, optimizing sourcing and contracting workflows, and fostering valued partnerships with suppliers.
Job Responsibilities
Small Meetings Hotel and Venue Sourcing
- Attend discovery calls with clients and team members for assigned small meeting (50 rooms or less) sourcing opportunities.
- Conduct hotel and destination research based on client specifications.
- Prepare and send RFPs via Cvent Supplier Network.
- Review and summarize supplier responses to ensure program needs and specifications are met.
- Compile and deliver availability reports with hotel / venue recommendations tailored to client goals.
- Negotiate hotel / venue contracts, including concessions, rates, and terms.
- Manage contract amendments, including attrition or cancellation negotiations as needed.
- Coordinate logistics and provide documentation for property and destination site inspections.
