Ultimate Staffing is seeking a detail-oriented and organized Purchasing Assistant to join our client's dynamic team. The ideal candidate will be responsible for handling customer orders, quoting requests, and coordinating with vendors to ensure smooth order fulfillment and timely deliveries. This role requires excellent communication skills, a customer-focused approach, and the ability to manage logistics processes efficiently.
Key Responsibilities :
- Order Management :
o Process order requests from customers.
o Provide quotes to customers based on provided specifications, ensuring the best price and turnaround time.
o Place orders online or directly with vendors and generate purchase orders.
o Follow customers' shipping instructions and ensure accurate order fulfillment.
o Respond to customer inquiries via phone and email, providing updates on order status.
o Notify customers when requests are received, orders are placed and expected delivery dates.
o Communicate with the internal team to meet deadlines and expedite customer orders.
o Follow up with vendors and suppliers to track shipments and expedite order processing.
o Resolve any issues with orders promptly to meet customers' expectations.
o Prepare billing invoices and track shipment expenses to ensure accurate billing.
o Enter billing information into QuickBooks for reconciliation with credit card statements.
o Maintain organized records of orders, invoices, and communication. Assist in the warehouse when necessary to verify shipments and dock receipts.
Qualifications :
o Previous experience in shipping, export coordination, or logistics is required.
o Familiarity with export processes is highly beneficial, as all orders will be shipped internationally via ocean or air.
o Exceptional organizational skills and attention to detail.
o Strong customer service skills with a pleasant demeanor.
o Excellent communication skills, both verbal and written in English.
o Spanish-speaking ability is a plus but not required.
o Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint).
o QuickBooks proficiency is essential.
o Strong problem-solving skills and ability to handle errors efficiently.
o Minimum of an Associate's degree.
o Punctual and reliable.
o Self-motivated with the ability to manage tasks and deadlines independently.
o Ability to multitask and prioritize tasks effectively.
o Basic math skills.
o Strong memory skills to recall order details and customer information.
