JOB SUMMARY
The Legal Administrative Assistant provides support to lawyers and paralegals in day-to-day activities. This position conducts general research, schedule meetings and tasks, create documentation, and perform administrative functions.
ESSENTIAL FUNCTIONS
Under attorney supervision, administers and follows best practices for regulatory compliance, company policies and procedures; creates and maintains checklists for use by legal department and subsidiary business development & procurement teams as appropriate.
Administer compliance-related reviews to various inquires or projects.
Tracks and reports on department budgetary matters; assists with invoicing and expense processes in accordance with company policies and procedures.
Prepares and processes a variety of technical legal documents which are characteristically voluminous and complex in format.
Assists paralegal with review of incoming material and independently determines the need for assembly and preparation of a variety of legal documents.
Administers and updates project management system for Legal department projects and tasks.
Understand and comply with state and federal rules, regulations, and procedures as well as corporate policies and procedures.
Keep department personnel and activities up to date on compliance matters.
Create processes, and maintain accurate documentation and databases, including an understanding of the regulations or rules driving such processes.
Assist attorneys or paralegals with gathering applicable documents and preparing responses to routine and in-depth regulatory inquiries, including sweeps, regarding the company’s and affiliate’s business, policies and / or procedures within stated deadlines.
Manage office operations and administration for Legal department including calendars, filing, travel, expense reports, and payment processes.
Assists paralegal with SBA filings; assists with registrations as needed.
Monitors and helps draft routine communications in coordination with attorneys and paralegals.
Prepare notes and summaries of meetings and monitors action items.
Provides occasional administrative support to Government Relations team.
Assists Government Relations team with state and federal lobbying and political activities compliance.
Work in a constant state of alertness and in a safe manner.
Perform other duties as assigned.
SUPERVISORY RESPONSIBILITIES
This job has no supervisory responsibilities.
KNOWLEDGE, SKILLS, & ABILITIES
Strong knowledge of administrative and clerical procedures and systems such as word processing, database management managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
Ability to write routine reports and correspondence.
Ability to read and apply laws, legal codes, court procedures documents such as basic contracts, insurance policies, governmental forms relating to corporate formation, lobbying regulations, corporate bylaws and articles, safety rules, operating and maintenance instructions, and procedure manuals.
Knowledge of Microsoft Office Suite and ability to learn other software packages used by the Company, especially Excel, Word and Powerpoint
Skill in organizing resources, establishing priorities, meeting deadlines and general time management.
Strong professional communication and interpersonal skills.
Knowledge in accessing the internet and work with on-line application formats for corporate records, and business licensing with State of Alaska Department of Commerce, State of Alaska Public Offices Commission and Federal Elections Commission for reporting of lobbying expenses and activities,
Ability to type 45 words per minute.
Strong self-motivation and work ethic; ability to work without direct supervision.
Ability to comply with and enforce standard policies and procedures.
MINIMUM QUALIFICATIONS
Bachelor’s degree preferred.
Minimum of two years of complex administrative support experience required,
Experience working for a large company, law office, or other Native Corporation preferred.
Ability to speak Yup’ik preferred.
Ability to pass a drug, background, and credit screening.
