ABOUT THIS OPPORTUNITY :
Performs all necessary duties of the Boys & Girls Club regarding membership records, statistics, correspondence, and filing. Relieves the Boys & Girls Club Area Director of administrative detail; performs advanced, secretarial work; prepares reports and spreadsheets from start to finish; coordinates information and arrangements for meetings and events, responds to inquiries regarding departmental operations and ensures the area runs smoothly while the supervisor is absent; may serve as a lead worker to club volunteers.
Key Responsibilities :
Composes, prepares and / or types a variety of paperwork with limited supervision and direction such as correspondence, program profiles, staff meeting minutes, and policies and procedures as directed by the Boys & Girls Club Area Director II; records minutes of meetings and distributes the same to all those concerned; ensures the accuracy, completeness, and timeliness of the same.
Plans, coordinates, instructs, and monitors the work of the switchboard operators, or relief operators.
Coordinates the drivers’ attendance sheets with pickups for the schools.
Oversee the Attendance System for Club Members, currently Comet, to include adding new members, archiving old members, creating files for each member, and running reports for statistical purposes.
Collects and process all membership applications and fees for membership and special activities and in keeps membership files up to date.
Records Advisory Counsel and Board meeting Minutes. Corresponds with Advisory Council with notices and emails.
Answers the telephone; takes messages; walks through buildings to locate persons for the phone calls.
Extends a cordial welcome to all visitors acting as Club receptionist during business hours. Greets and checks Club Members in and out when needed.
Processes monetary transactions and receipts. Prepares cash disbursement and deposit; prepares financial report weekly; ensures the accuracy and completeness of the same.
Types correspondence as requested and prepares bulletins and flyers related to important items of information and special events.
Gives tours of the Club facilities to new members or visitors in absence of the Boys and Girls Club Area Director; introduces people to the programs and staff.
Inputs and maintains routine and statistical records, reports, and related files. Compiles volunteer hours monthly and reports to Volunteer Coordinator.
Retrieves, opens, stamps, and routes all incoming mail and correspondence.
Prepares mailing to Club members regarding events, schedules, membership, and other club information.
Other Responsibilities :
Attends meetings, conferences, and seminars as requested.
Provides assistance as needed and directed with study classes, special events, and daily programming.
Assumes other responsibilities as assigned by the Boys and Girls Club Area Director.
Performs other related work as required.
Ensures the safety and well-being of each program participant; administers first aid when needed.
Knowledge and Abilities :
Ability to follow both verbal and written instructions.
Ability to maintain an efficient and organized filing system to ensure that items can be retrieved in a timely manner.
Ability to present a positive and professional image of The Salvation Army. Ability interacts with children and teens with patience and respect.
Ability to perform routine mathematical computations. Ability to prepare and maintain records and reports in an accurate and complete manner.
Ability to support and coordinate activities and events. Ability to clearly communicate roles and responsibilities to individuals and groups.
Ability to schedule meetings. Ability to interact with co-workers, volunteers, and the public in a positive, professional manner.
Ability to work with people of diverse backgrounds and circumstances. Ability to operate and generally maintain all office equipment, including but into limited to the copier, fax machine.
Proficiency with Windows & Microsoft Office 365, particularly Word, Excel, PowerPoint, and Outlook
WHAT WE ARE LOOKING FOR :
MINIMUM QUALIFICATIONS REQUIRED :
Education & Experience :
High School Diploma or and Three years experience in a general office setting or any equivalent combination of training and experience which provides the necessary knowledge, skills, and abilities.
Certifications :
Valid State Driver’s License
Physical Requirements :
Ability to meet attendance requirements. Ability to read, write, and communicate the English language. Ability to type and keypunch information into a computer. Ability to operate various general office equipment including a computer, photocopy machine, typewriter, facsimile, calculator.
Ability to answer the telephone in a courteous and tactful manner. Ability to sort and file items alphabetically and numerically. Duties are usually performed by combinations of sitting, standing, and walking on a frequent change basis Limited amount of physical effort required associated with walking, standing, lifting, and carrying light objects (less than 25 lbs.) 5-10% of work time.
Working Conditions :
Work is performed in a Boys & Girls Club environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.
