Job #536274) Administrative Analyst / Specialist I E, ITS Project Coordinator, Salary Range : $4,379 - $7,922; Hiring Range : $4,379 - $5,700 / mo. This is a full-time, benefited, exempt, 12-month pay plan permanent position with a one-year probationary period in the Information Technology Services Project Office. This position comes with a premium benefits package that includes outstanding vacation, medical, dental, and vision plans, life insurance, voluntary pre-tax health and dependent care reimbursement accounts, a fee waiver education program, membership in the California Public Employees Retirement System (PERS), and 14 paid holidays per year. Position Summary :

The ITS Project Coordinator provides project management skills, knowledge, and experience to motivate teams to meet a project’s needs and achieve its desired outcomes.

Key Responsibilities :

Project Coordination (40%)

  • Participate in all phases of the project life cycle.
  • Create and execute comprehensive project plans, including scope, tasks, resources, dependencies, timelines, and status throughout the life of the project, revising as appropriate to meet changing needs and requirements. Project plan phases include, but are not limited to : planning and organizingdesigndevelopment / builddocumentation such as forms, reports, business process guides and process mapstesting plans, scripts and activitiestraining plans and activitiescommunication plans and distributionmove to production activitiesproject wrap-up and closure activities
  • Resolve conflicts, project risks, and issues in a timely manner, escalating to management as appropriate.
  • Communicate, coordinate, and collaborate with project teams and stakeholders comprised of ITS directors / managers and staff, campus staff, the Chancellor’s Office, consultants, and vendors. This includes facilitating project team meetings and promoting communication and cooperation among campus departments.
  • Contribute to continual process improvements by soliciting feedback from project stakeholders, capturing lessons learned and implementing solutions.
  • Coach, mentor and motivate others to help them achieve project expectations and deliverables; particularly in areas of Agile project methodology and project estimating / sizing.

Project Intake (15%)

  • Participate in the creation, evolution, and maintenance of the ITS Project Prioritization process
  • Campus and ITS Initiatives Support (40%)

  • Provide additional resource support for assigned Initiative(s)
  • Assist in management of the project scope, deliverables, and timeline.
  • Maintain the project schedule - updates, % complete.
  • Assist in maintaining toolkits to be a part of the campus project and change management framework
  • Knowledge, Skills, and Abilities Associated with this Position Include :

  • Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and / or administrative specialty to develop conclusions and make recommendations.
  • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and / or administrative specialty.
  • Working knowledge of operational and fiscal analysis and techniques.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
  • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively listen, interpret, organize, and present information and ideas in written or presentation form.
  • Demonstrated cultural humility, sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of students, faculty, and staff when establishing and maintaining cooperative and collaborative working relationships with students, faculty and staff.
  • Minimum Qualifications :

    Entry to this classification requires general knowledge and skills in Project Management with a foundational knowledge of public administration principles, practices, and methods.

    This foundation would normally be obtained through a bachelor's degree and / or equivalent training and administrative work experience involving study, analysis, and / or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

    Preferred Qualifications :

  • 1 to 3 years of project management experience with either technical or business projects where strong project management skills have been demonstrated
  • Possession of a Professional (PMP), or Certified Associate in Project Management (CAPM) or PMI Agile Certified Practitioner (PMI-ACP)
  • Exhibit maturity, reliability, composure and stability under pressure as required in managing projects and interacting with students, faculty and staff.
  • Strong communication, presentation, and interpersonal relations, and listening skills in general and specifically in relation to project communications and stakeholder interactions.
  • Working knowledge of a wide range of existing and emerging information technology models, standards, technologies and tools, including SDLC, Agile, Lean, Flow, etc. that can be applied to meet the needs of an individual project.
  • Demonstrated experience with coordinating projects involving integration of disparate systems and services, including commercial off-the-shelf, open source, SaaS, and in-house developed products.
  • Demonstrated ability to use organizational and time-management skills to lead multiple projects and activities simultaneously.
  • General experience with various project management software applications.
