About Seton College :
Seton College is a new two-year college division of UMSV that will offer an associate’s degree for 100 students that have been historically underserved, who may require additional academic support, and who are motivated for post-secondary success annually beginning in the 2024–25 academic year. The program’s goal is to prepare students to enroll in a bachelor’s degree program or to begin their professional careers. Seton College students will study on the Riverdale Campus of UMSV and have full access to UMSV’s facilities and programs.

Job Description
The Assistant to the Dean of Seton College primarily manages the administrative tasks of a dean’s office, including scheduling meetings, managing correspondence, preparing reports, coordinating events, handling inquiries, and acting as a liaison between the Dean and other stakeholders within the college or university. Essentially, this role serves as the Dean's right-hand person in day-to-day operations.
Duties include :
- Calendar Management : Manage the Dean's calendar, including scheduling appointments, class calendars, meetings, and travel arrangements.
- Communication Management : Draft and distribute emails, letters, and other correspondence on behalf of the dean. Update and maintain social media pages and posts, and create event / activity flyers.
- Meeting Preparation : Research topics, prepare agendas, gather materials, and take minutes for meetings. Support event planning, including booking rooms and ordering catering.
- Administrative Support : Handle expense reports, maintain files, update databases, and manage office supplies and textbooks. Manage copier needs, including stocking with paper, ordering and refilling toner, and calling for service when needed. Collect and deliver items to the mailroom.
- Project Coordination : Assist with special projects, events, and initiatives as assigned by the Dean.
- Liaison Role : Act as a point of contact for faculty, staff, students, and external parties reaching out to the dean's office. Serve as a point of contact with facilities for work orders and other requests.
- Data Analysis : Gather and analyze data to support the dean's decision-making.
- Budget Management : Assist with budget tracking and reporting. Create requisitions, follow up with vendors and finance, and facilitate the PO approval process.
- Confidentiality : Maintain confidentiality of sensitive information related to the dean's office.
- Student Support : Assist with student concerns, advising, or referrals.
- Faculty Support : Coordinate faculty meetings, manage faculty evaluations, or assist with faculty recruitment.
- Fundraising Support : Assist with fundraising efforts by preparing materials and coordinating donor outreach.
