Job Description

We are looking for an outstanding Document Control Analyst located in Los Angeles to provide part-time support for our client, the Los Angeles Department of Public Works and Los Angeles Internal Services Department (ISD), specifically within the Program and Project Management (P&PM) division. The Document Controls Analyst will be responsible for filing all documents, records, reviews, writings, studies, shop drawings, Requests for Proposals, solicitation documents, Board letters, etc., and tracking all documentation and disbursement of mail, faxes, etc.

This position will be part-time role with the ability to work onsite, in-person in the Los Angeles area necessary. This position is expected to continue through March 1, 2027.

Daily Duties

  • Properly save and organize P&PM files using the naming convention outlined in the P&PM's Project File Index.
  • Oversight of P&PM document controls system, including support of administrative and project management staff to ensure that proper filing of all documents.
  • Assist with the reviewing and filing of documents to support the close out of various contracts.
  • Update P&PM's MS Teams Channel and Wiki with various P&PM resources.
  • Scan any paper documents and dispose of or file them following established procedures.
  • Other document controls efforts, including, but not limited to, identifying issues / inefficiencies with the filing system, providing recommendations for solutions, etc.

Minimum Qualifications

  • Minimum 4 years of work experience with organizing files, databases, and MS SharePoint.
  • Experience with supporting document management processes, including, but not limited to, assistance with enhancing current processes.
  • Experience with Microsoft Office Suite is required
  • Experience with Adobe Acrobat is required
  • Demonstrated experience scheduling the design and construction of large-scale, complex projects; including developing and managing a progress reporting methodology for a complicated design effort
  • Experience with various delivery methods such as Design- Build and Public Private Partnership delivery methods is desirable
  • Demonstrated ability to understand technical and complicated construction program and the ability to communicate progress to both technical and management-level personnel
  • Capable to assume additional responsibilities
  • Strong oral and written communications
  • Proven accuracy, reliability and completeness in job accomplishment
  • Required Education

  • Bachelor's degree in Engineering, Construction Management, or a related field is preferred
