We are currently seeking a dynamic and dedicated Administrative Assistant to join our team in the Manufacturing industry. This is a permanent position that offers an exciting opportunity to work in a fast-paced, high-energy environment where no two days are the same. The ideal candidate will be a highly organized individual with a keen eye for detail, capable of juggling multiple tasks and maintaining a calm, professional demeanor in the face of challenges.
Responsibilities :
As an Administrative Assistant, your daily tasks will involve :
1. Managing and maintaining schedules, appointments, and travel arrangements.
2. Coordinating and managing meetings, including arranging logistics, preparing materials, and ensuring all necessary equipment is available and operational.
3. Handling office tasks, such as filing, generating reports and presentations, and setting up for meetings.
4. Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
5. Providing real-time scheduling support by booking appointments and preventing conflicts.
6. Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
7. Screening phone calls and routing callers to the appropriate party.
8. Using Microsoft Office Suite to create, format, and edit documents.
9. Managing filing systems, updating records, and organizing documentation.
10. Processing and directing mail and incoming packages or deliveries.
11. Handling invoicing and basic bookkeeping tasks.
12. Providing excellent customer service and handling public relations inquiries.
13. Troubleshooting and problem-solving office administration issues.
Qualifications :
The ideal candidate for the Administrative Assistant position will have the following qualifications :
1. 2+ years of experience in an administrative role.
2. Proficiency in Microsoft Office Suite, particularly MS Word, MS PowerPoint, and MS Excel.
3. Excellent written and verbal communication skills.
4. Strong problem-solving skills and the ability to make decisions under pressure.
5. Exceptional organizational skills and the ability to prioritize tasks effectively.
6. High level of accuracy and attention to detail.
7. Experience in invoicing and basic bookkeeping.
8. Ability to multitask in a fast-paced environment.
9. Proven experience in meeting coordination and schedule management.
10. Strong research skills and the ability to find information quickly and efficiently.
11. A positive, customer-focused attitude and the ability to work effectively in a team.
12. Experience in the manufacturing industry would be an asset.
